Data Security & Access All patient data is stored locally on your laptop or PC, ensuring complete data privacy and security. The system is protected by password-based login, restricting access to authorised users only.

Patient Registration A comprehensive registration module captures essential patient details including name, mobile number, email ID, date of birth, age, gender, anniversary date, and address. A unique registration number is auto-generated by the system. Health-related details are also recorded at the time of registration.

Medical Records Detailed medical profiles can be maintained for each patient, covering blood group, existing illnesses, allergies, lifestyle habits (tobacco, smoking, alcohol), medical history, current medications, and dental history.

Patient List & Management A complete list of registered patients can be viewed, searched, and updated at any time, ensuring records remain accurate and current.

Master Data Configuration The system supports configuration of key operational masters including Treatments, Doctors, Rooms, Units, Employees, Family Members, and Cities — allowing the software to be tailored to your clinic’s specific structure.

Appointment Scheduling Appointments can be scheduled for any date and time by selecting the preferred doctor, room, and therapist, along with instructions and remarks. An automatic WhatsApp message is sent to the patient upon booking. Appointments are viewable in weekly and monthly calendar formats, with colour-coded display by doctor and therapist for easy identification.

Appointments can be cancelled, rescheduled, or converted to a visit. The system supports multiple chairs and rooms, and appointments can be booked for family members even if they are not individually registered as patients.

Daily Reminders via WhatsApp Every morning, appointment reminders can be sent to all patients scheduled for the day with a single click. Birthday and anniversary greetings are also included in the daily reminder dispatch.

Patient Visits Clinical notes can be entered efficiently using a microphone for complaints, along with findings, diagnosis, treatment details, and charges. Medicines can be selected from a dropdown with dosage and quantity. Products sold during the visit are auto-priced based on MRP and quantity.

Each visit supports discounts, loyalty point allocation and redemption, bill and receipt generation, payment mode selection, clinical notes, next appointment date, and document or X-ray uploads. Bills and prescriptions are generated as downloadable PDF files.

Previous visit records are accessible date-wise, and a full case paper can be generated for any visit.

Outstanding Management Patient-wise outstanding balances are displayed across visits, sales, and packages. WhatsApp reminders for outstanding dues can be sent directly from this module.

Inventory Management A complete inventory module covers item master, party master, goods receipts, sales, returns (by party and by patient), and payments (to party and by patient). Party payments are automatically reflected in expense records. Stock levels are tracked entry-wise with reorder level alerts, and a dedicated view highlights expired or near-expiry products.

Quotations Treatment quotations can be prepared by the doctor for individual patients and downloaded as PDFs. The quotation view displays current status — Pending, Accepted, or Cancelled — and allows status updates as required.

Packages Treatment packages can be defined and assigned to patients with details such as doctor, number of sessions, package expiry date, charges, advance payment, and payment mode. Bill and receipt numbers are auto-populated.

Package Visits Package-based visit entries capture remarks, amount paid, and payment mode. A patient’s digital signature is captured before submission. Expiring packages are flagged for timely follow-up. Visit receipts are available in PDF format with full visit details.

Communication Log All patient communications are recorded and stored for future reference, with options to view and update entries as needed.

Reminders Reminders can be added, viewed, and updated within the system and are integrated with the appointment module for seamless WhatsApp dispatch to patients.

Gallery Treatment images can be uploaded treatment-wise and viewed through the gallery — useful for before-and-after documentation and patient records.

Financial Management Expenses can be logged with date, particulars, and amount. A financial summary view displays the last six months and the current month’s data — including billed amounts, receipts, expenses, payments, and net profit or loss — in a clear columnar format with graphical representations.

Dashboard The dashboard provides a real-time summary of all daily activities and pending tasks, with graphical representations for quick decision-making and operational oversight.

Profile & Clinic Settings Clinic details, logo, and doctor signature can be configured for use on e-prescriptions and e-bills. Password change is available under settings.

OTP-Based Authorisation Sensitive actions such as visit updates, payment entries, and product returns are secured through OTP verification sent via WhatsApp.

Connectivity Internet connectivity is required only for WhatsApp messaging — appointment confirmations, outstanding reminders, and morning reminders. All other functions operate fully offline.

Reports (Annexure A) All reports are exportable to Excel for any custom date range, including:

All reports can be drawn between any two given dates in Excel.
